If you use Windows every day for work, I've got a question for you:
What's the one app you couldn't do without?
According to Microsoft's latest marketing, the answer should be Microsoft Copilot.
They're positioning it as the number one productivity app in Windows 11, ahead of tools like File Explorer, Microsoft To Do, and even the ever-reliable Snipping Tool.
That's a bold claim.
To be fair, I can see why they're making it.
There's a huge focus on AI PCs right now, and Copilot is a major part of that message.
It sits on your desktop and promises to help you think, plan, and get things done. You can ask it to summarize long emails, turn rough notes into a checklist, draft replies, or help organize ideas for a project.
And in the right situations, that can be genuinely useful.
If you've ever opened your inbox and been faced with a long, rambling email thread, getting the key points pulled out quickly can be a real time-saver.
If you've dumped half-formed ideas into a document, having something help you shape them into a clearer structure can be helpful too.
But this is where I'm not completely sold on the "number one" label.
When you look at how most businesses actually operate, a lot of the real work is still done by other tools.
File Explorer is used all day, every day. It's how people find client documents, move files, organize folders, and keep work in order. It may not be exciting, but it's essential.
The same applies to task tools like Microsoft To Do, or simple utilities that let you quickly take screenshots and share information.
They're not flashy. They don't get the big keynote moments. But they're built into the rhythm of the working day.
Copilot feels different. It's more like an assistant that works alongside those tools. It can help you process information and create content, but it doesn't replace the core systems your business depends on.
I suspect this ranking says more about Microsoft's direction than real-world usage. They want AI to be seen as the future of productivity, so it makes sense for them to put Copilot at the top of the list.
But from a business owner's perspective, the better question isn't, "What does Microsoft say is number one?"
It's, "Where are we wasting the most time?"
If your team spends hours writing, summarizing, planning, or sorting through information, Copilot could make a meaningful difference.
But if the real issue is disorganized files, unclear processes, or too many manual steps, an AI assistant won't fix that by itself.
AI is becoming part of everyday work, and that's not a bad thing. Just don't let the marketing define what productivity should look like for your business.
The best tool is still the one that solves your biggest daily headache.
